The first question almost every company asks when they start considering custom software is: what will it cost? There is never a single number, because "an app" can mean a simple form or the system the whole company runs on.

This article breaks down what you are actually paying for, so you can judge the quotes you receive with more confidence.

What really drives the price

The cost of custom software is almost entirely team time. Every factor below eventually reduces to one thing: how long the work takes.

1. How many workflows, and how tangled

A simple stock-tracking tool might have three flows: add an item, record movement in and out, view a report. An ERP can have dozens of interconnected flows, each with its own rules and exceptions.

The more "if this, then that" branches exist, the longer the build — and the more there is to test.

2. How many user roles

A system with one kind of user is far simpler than one where an admin, a supervisor, a cashier, and an owner each see different data. Every role adds permission rules that must be designed, built, and tested.

3. Integrations with other systems

Connecting to a payment gateway, a shipping provider, accounting software, or a legacy system adds work that is routinely underestimated. Third-party documentation is rarely complete, and failure cases have to be handled deliberately.

4. Which platforms you target

Web only is cheaper than web plus Android and iOS. But check the assumption first: do your users genuinely need an installed app, or is a site that works well on a phone enough?

5. How far the interface design goes

A standard functional interface costs differently from one that goes through user research, prototyping, and testing. For an internal system used daily by dozens of staff, that investment usually returns itself in shorter training time.

Typical ranges in the Indonesian market

The figures below are general market ranges, not a quote. They are here to help you recognise whether an offer is reasonable.

Type of system Typical duration Notes
Company profile / landing page 2–4 weeks Content and SEO led
Simple internal application 1–3 months One or two core workflows
Mid-sized operational system 3–6 months Multiple roles, some integrations
Large / multi-branch platform 6 months and up Needs phased planning

A quote far below the reasonable range usually means one of three things: the scope was understood differently, quality is being traded away, or additional costs will appear later.

Reducing cost without hurting the result

Start where it hurts most. You do not need to build the whole system at once. Pick the single process that eats the most of your team's time today, solve that first, then expand in stages.

Get your data in order first. Clean data speeds up migration. Time spent untangling messy spreadsheets is time you pay for.

Appoint one decision-maker. Projects whose decisions travel through many people move far more slowly. One person who can decide speeds up everything.

Do not rebuild what already exists. If your needs are standard, an off-the-shelf product may make more sense. Custom software earns its cost when the way you work is genuinely different — and that difference is your advantage.

Questions worth asking any vendor

Before signing, make sure you have clear answers to:

  • What is included in this price, and what is not?
  • How are changes to the requirements handled mid-project?
  • Who owns the source code once the project is finished?
  • What happens after launch — is there a support period?
  • Can I see progress regularly, rather than only at the end?

A good vendor answers all of these without circling. If the question about code ownership gets a vague reply, treat that as a signal.
